True North Virtual School (“True North”, “we”, “us”) is an online high school offering Ontario credit courses for Grades 9 to 12. This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have. It applies to our website, our registration and payment process, and our online courses.

We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), Ontario’s Education Act and the Ministry of Education’s requirements for student records.

Information we collect

We only collect what we need to register students, teach courses and keep the records Ontario schools must keep.

  • Registration: student’s name, date of birth, email, phone, home address, current school and grade, Ontario Education Number (OEN) if available, and chosen courses
  • Parent or guardian (students under 18): name, email and phone
  • Documents you upload: report card or transcript, and an Individual Education Plan (IEP) if you choose to share it
  • Your requests: where to send final marks (day school, OUAC, OCAS) and any notes you add
  • Payment: amount paid and payment confirmation. Card details are entered on Stripe’s secure page and are never stored by us.
  • Coursework: assignments, marks, teacher feedback and messages, kept in our learning platform
  • Contact form: name, email, phone (optional) and your message
  • Website visits: basic technical data such as IP address, browser type and pages visited, through cookies

Giving us information is voluntary, but we can’t register a student or award a credit without the details marked as required on our forms.

How we use your information

We use personal information to:

  • process your registration and payment
  • check prerequisites before giving access to a course
  • create your course account and assign your teacher
  • teach, mark and give feedback on your work
  • issue report cards and add credits to the Ontario Student Transcript
  • keep required student records and report to the Ministry of Education
  • send final marks where you ask us to
  • contact students and parents about registration, courses and marks
  • answer questions sent through our contact form

We don’t sell, rent or trade personal information. We only send marketing emails if you’ve agreed to receive them, and you can unsubscribe at any time.

Who we share it with

We share personal information only when it’s needed to provide our courses, when you ask us to, or when the law requires it:

  • Ontario Ministry of Education: required reporting for schools that grant Ontario credits
  • Your day school: only if you ask us to send your final mark
  • OUAC (universities) or OCAS (colleges): only if you ask us to send your marks
  • Stripe: to process card payments securely
  • Our learning platform: to give students access to their courses
  • Service providers: website hosting, email delivery and similar services that help us run the school. They may only use the information to provide their service to us.
  • Authorities: when required by law

Some of these providers may store information outside Canada, for example in the United States, where it may be subject to local laws.

Students under 18

For students under 18, we ask for a parent or guardian’s contact details, and the parent or guardian receives a copy of the registration confirmation. Parents and guardians of students under 18 can ask to see or correct their child’s information. Once a student turns 18, they control their own records.

How we protect and keep your information

Our website uses a secure (SSL) connection. Uploaded documents are stored in a private folder that can’t be opened from the public website, and only authorized school staff can view registrations. Card payments are handled entirely by Stripe.

We keep personal information only as long as we need it or the law requires. Ontario Student Records are kept as required by the Ministry of Education’s Ontario Student Record guideline. Other records, such as registrations and contact messages, are deleted when no longer needed.

If a privacy breach puts anyone at real risk of significant harm, we’ll notify the people affected and report it to the Office of the Privacy Commissioner of Canada.

Cookies and analytics

We use essential cookies that keep the website and registration form working. With your permission, we also use analytics cookies (such as Google Analytics) to see how visitors use the site so we can improve it. You can change your choice at any time through the cookie banner, or block cookies in your browser settings.

Your rights

You can ask to see the personal information we hold about you, correct it, or withdraw your consent (for example, to marketing emails). We’ll reply within 30 days. Some records, such as the Ontario Student Record, must be kept by law.

If you’re not satisfied with how we handle your concern, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
